An employee profile template is a decision about what people are allowed to look up about each other, and most templates fail by asking for too much rather than too little. Name and photograph answer is this the right person. Title and department answer what they do. Manager answers who to escalate to. Location and time zone answer when to call. Email and phone answer how to reach them. Start date answers how new they are, which is the field that quietly tells a colleague how much context to give. The four fields to leave out
Date of birth, home address, salary band and emergency contact. All four are real HR data and none of them belongs in a directory every colleague can read: the first two are identity risk, the third is a pay conversation nobody chose to have, and the fourth is for the two people who need it in an emergency rather than for the company. Keep them in the HR system with its own access rules.
Completeness, as a list rather than a feeling
Nine fields times 140 people is 1,260 fields, and at 62% complete that is 478 empty ones spread over 53 people. Printed as a list per person it is an afternoon's work; left as a percentage it is a complaint. The useful version of a profile template is one that tells you which fields are missing and for whom, so somebody can finish them.
Questions people ask about employee profile template
Should photographs be required?
Required to ask, not required to supply. A photograph is the single most useful field in a company where people have not all met, and it is also the one some people decline for good reasons.
Who should be able to edit a profile?
The person themselves for contact details and pronunciation, their manager or HR for title, department and reporting line. Two owners, clearly split, keeps the record both accurate and current.
How often should profiles be checked?
At the joiner, mover and leaver moments and never on a schedule. On the worked example that is 28 changes a year at six minutes each, under three hours in total.
