These sheets have no constants. Every number is worked from the figures you enter: the headcount, the span of control, the people at the top, the contractors, the redraws and the minutes each takes, the profile fields and how complete they are, the lookups a week, the minutes a lookup takes, the hourly costs, the joiners and leavers, and the dotted-line share, count, check-in length and interval. The defaults are one 120-person company's worked example, not a benchmark this site publishes.

Work out the shape before you place a box
Headcount divided by the span plus one is the managers the structure implies. On the worked example 120 people at a span of seven is 15 managers and 105 individual contributors, and the top four leaders reach 228 people in three layers, which is why 120 people fit in four.
Count the boxes, contractors included
Contractors and agency people need a box and a line or the chart is wrong the day it is published. On the worked example eight of them take the chart from 120 boxes to 128, which is the number that has to fit on a page somebody can read.
Price the redraw, then decide what free means
Four redraws a year at ninety minutes each is six hours, and at $38 an hour that is $228 a year, or about $1.78 per box. Free software that makes you redraw by hand is not free; it just moves the cost onto the person who does it.
