These sheets have no constants. The question worth asking before you buy is what the wrong spreadsheet is already costing, because that figure decides whether this is a project or a Tuesday afternoon. Count the lookup before you count the licence

Headcount times lookups a week times fifty-two over twelve is the lookups a month; times the minutes each takes over sixty is the hours; times the hourly cost is the bill. On the worked example that is 1,820 lookups, 121 hours and about $4,125 a month, which is the figure directory software is measured against.

Decide which nine fields a profile carries

Name, title, department, location, manager, email, phone, start date and photograph is nine, and nine is enough. On the worked example 62% of profiles are complete, which leaves 53 people with a gap and 478 empty fields across the company. Software that will not tell you that number is software that hides it.

Make the joiner, the mover and the leaver the only maintenance

Twenty-eight changes a year at six minutes each is under three hours of upkeep, and that is the whole job when the chart is drawn from the same record. When the chart is a separate slide, every one of those changes is done twice and the second one gets skipped.
